Privacy statement Ultramar Products BV

Ultramar Products BV considers your privacy very important. We will therefore process and use your data in a secure manner, in accordance with the General Data Protection Regulation. In this privacy statement we explain to you which data we collect from you and why we do this. You can also read in this statement what your rights are with regard to this processing. Article 1: Who are we?

Ultramar Products BV is a private limited company, with its registered office at (5102 AE) Dongen at Lage Ham 190. We are registered in the trade register of the Chamber of Commerce under number 56248385. We are the controller of your personal data.


Article 2: What data do I use?

Here you can find an overview of the data we process about you, why we do this, what legal basis we have for processing your data and how long we will keep this data.

We process your name, address, place of residence, e-mail, telephone number and other data that are necessary to optimally provide our services to you to enable the execution of the agreement. We use this information to make you a satisfied customer during the term of our agreement. This data is kept as long as there is a chance of repeat order.

In order to manage your order, we will store your name, delivery address, billing address, email, telephone number, purchase history and payment details in our customer database for up to 7 years after the conclusion of our agreement. We do this on the basis of the execution and possible amendment of the agreement.

We believe it is important to maintain a good relationship with you as a customer. For our CRM system we also store your name, username, address, e-mail, location, order history and telephone number. We will not delete this data for relationship management, unless you submit a request to do so.

For invoicing and financial administration we process your name, company name, email, telephone number, Chamber of Commerce number, VAT number, customer number, bank details and outstanding balance. We cannot process your payment without this information. We therefore need this data for the execution of the agreement. According to a legal obligation of the Tax Authorities, we must keep this data for 7 years. After this period we will delete this data from you.

In the unlikely event that you have a complaint about our services, we will process your name, e-mail, account number, telephone number, order number and the content of this complaint in order to arrive at the best possible solution for you. We use this data for an optimal execution of the agreement. We will delete data related to complaints after handling.

Ultramar Products BV has a commercial interest in using some of your personal data for marketing purposes. We process your name, address, place of residence, e-mail, telephone number and social media account for direct marketing and social media marketing. We will delete this data as soon as you unsubscribe from our newsletter or indicate that you no longer wish to be contacted by us.

We use analytics and retargeting services to enable and optimize this website. We have a commercial interest in using your surfing behavior and related data to analyze and where necessary improve our service. We will track your use of our website with Google Analytics and a Facebook Pixel and are bound by the retention periods of Google and Facebook.

These services use cookies. Cookies are small pieces of information that are sent to your browser when you visit our website and are then stored on the hard drive or in the memory of the device with which you visit our website. These cookies will not damage your devices.

In addition, Facebook collects target group statistics by means of a cookie. With this data we can place more targeted advertisements. These cookies are active for two years. However, the data collected by Facebook using this cookie is passed on to us anonymously.

To enable the posting of reviews about our services, we process the content of your message with, if desired, your name and e-mail. This data is stored via FeedbackCompany or our webshop. And if you want to contact us via the website, we ask for your name and email. When you place your message or send the contact form, these data are automatically visible to us. We delete the data from a contact form sent as soon as the contact request has been completed, unless an agreement results from this.

We process your name and content of your message when you want to leave a comment on our articles or messages. This data will automatically become visible and we will keep it until you delete your comment or we delete our message.

Finally, we process a password for your personal account on our website. We store this password encrypted in combination with your username. We do this to prevent security fraud. We keep your account information until you delete your account.

When you have applied for a job with us and we enter into a working relationship with you, we will process your name and address details, telephone number, date of birth, place of birth, e-mail address, BSN, IBAN, education and diplomas and possibly passport photo. We need this information to conclude our employment contract. Without this information, we cannot perform the agreement because, for example, we cannot pay your salary. We also make a copy of your ID or passport based on a legal obligation and we ask you for a payroll tax statement. We keep this data in our administration for up to 7 years after you have left employment.


Article 3: How do we obtain this data?

We have obtained the above information from you as a customer, employee or website visitor, because you have provided this information to us. In addition, we may have obtained your data through one of our sales points.


Article 4: What rights do you have with regard to this data?

The General Data Protection Regulation has given you a number of rights with regard to the personal data that you have had us process.

  1. Access - You can at any time make a request to Ultramar Products BV to view your data.
  2. Change - If you want to have your data adjusted, corrected, supplemented, protected or deleted on the basis of inspection, you can submit a request for this. You can also adjust a number of details in your personal account.
  3. Objection - You can object to the processing of your data.
  4. Data transfer - Should you wish to transfer your data to another provider, we will provide your data in a structured and common form that can be accessed by common digital systems.
  5. Automated processing - You may always let us know your position on an automated decision and have this decision reconsidered by a third person.
  6. Withdrawal - When we have processed data on the basis of your explicit consent, you have the right to withdraw this consent. This may have consequences for the services we can provide to you.

To exercise your rights, please send a request to support@ultramarxl.com. We will review your request as soon as possible. If we are unable to comply with your request, we will let you know why we are rejecting your request.


Article 5: Who receives your data?

Ultramar Products BV will not provide your data to third parties, unless this is necessary for business operations or is required by law. Your data may be passed on to processors, parties involved in the execution of our agreement and external advisors for the execution of the agreement. We conclude processing agreements with these third parties to optimally protect your privacy. We will not sell your data on to third parties.


Article 6: Automated decision-making

Ultramar Products BV may use automated decision-making based on information you provide. It is therefore possible that you will no longer receive emails from us after certain inactivity.
